General

Requirements for Nomination

  • Member in good standing of OSHP for at least 3 years
  • Volunteer contributor to OSHP for at least 3 years. Such contributions could include serving on a division, as a local area chapter officer, or speaking at an OSHP meeting.
  • Endorsement of nomination by at least 2 OSHP members, one of whom may be the nominee
  • Must not be employed either full-time or part-time by any company that competes in any manner with OSHP or is a part of a corporation whose subsidiaries compete with OSHP

Skills and Abilities Needed to Succeed

  • Excellent verbal and written communication skills
  • Understanding of the organizational structure of OSHP
  • Ability to delegate activities and motivate volunteers
  • Proven OSHP leadership performance
  • Volunteer contributor for at least 3 years. (Past division member, local area chapter representative, OSHP meeting speaker)
  • Proven strategic thinking and organization experience
  • Ability to work productively with other OSHP staff
  • Ability to be a team player
  • High integrity and professional conduct
  • Experience in areas which can bring added value to the OSHP Board
  • Understanding of time commitment
  • Member in good standing with OSHP for at least 3 years
  • Must not be employed by a company that competes in any manner with OSHP or is part of a corporation whose subsidiary(ies) competes with OSHP.

Selection Process and Term Limit

  • Elected by the OSHP membership for a two (2) year term, renewable for additional terms
  • There are a total of six (6) Director at Large positions available
    • Three (3) positions are up for election each year
    • The candidate runs for one of three (3) open positions, not a specific position
    • The Board Executive Committee assigns a candidate to one of the three (3) open positions

Estimated Time Commitment/Meeting Commitment for all Division Directors

  • Attendance at OSHP Board meetings
    • Face-to-face: three per year (1 at each Division Day and 1 at OSHP Annual Meeting)
    • Teleconferences: 4-5 annually for a duration of 1-3 hours each
  • Attendance at OSHP Annual Meeting
    • 2-3 days in late April/early May
    • Participate in the House of Delegates
    • Generally requires 1-2 overnight stay
  • Attendance at OSHP Annual Planning Retreat
    • 1-2 days in June
    • Generally requires 1 overnight stay
  • Attendance at OSHP Division Days
    • 2 Division Days are scheduled annually (usually September and February)
    • Each is approximately 8 hours in duration (including Board Meeting)
    • Create a Division Day agenda (15-30 minutes)
    • Notify division members of Division Day dates and forward RSVP information to the Executive Vice President prior to Division Day
    • Give verbal update during lunch on activities of the division to the present membership
  • General responsibilities
    • Writing an article for the OSHP Bulletin at least once a year (1 hour)
    • Writing an annual summary of division accomplishments for submission to OSHP Board (1 hour)
  • Transition meeting (4 hours)
    • Meet with incoming division director to ensure a seamless transition of responsibilities


SPECIFIC DIVISION DESCRIPTIONS

Professional Affairs Division

Key Roles and Responsibilities

  • Managing OSHP Annual Awards
    • Evaluating if new awards need to be created
    • Modifying current awards if necessary (name of award, criteria for selection, etc.)
    • Promoting nominations for award categories from OSHP members
    • Directing committee in selection of award recipients
    • Ensuring appropriate plaques, certificates etc. are procured for award recipients
    • Presenting awards at OSHP Annual Meeting
  • Establishing position statements
    • Canvassing OHSP members to ascertain topics for position statements
    • Generating position statements regarding issues that affect the practice of hospital pharmacy
    • Submitting position statements to the OSHP Board of Directors and OSHP House of Delegates for approval
  • Generating annual Division Goals

Time Commitment

  • General time commitment
    • 4-6 hours per month
    • More hours are required prior to each Division Day and prior to Annual Meeting
  • Accomplishment of division work/achievement of division goals
    • 80-90% of work is completed at Division Day meetings
    • 10-20% of work is accomplished outside of Division Day meetings in small groups via e-mail or teleconferences

Organizational Affairs Division

Key Roles and Responsibilities

  • Contract service provider self-evaluations
    • Contact the service providers in January and solicit self-evaluations
    • Review self-evaluations and contracts
  • Liaise with the corporate recruiter
    • Review and report on corporate partnerships
  • Manage the business of OSHP
    • Conduct financial audit
    • Review bylaws as necessary
  • Other goals as recommended during the planning retreat and the Board of Directors

Estimated Time Commitment

  • General time commitment
    • 4-6 hours per month
    • More hours are required prior to each Division Day and prior to Annual Meeting
  • Accomplishment of division work/achievement of division goals
    • 75-80% of work is completed at Division Day meetings
    • 20-25% of work is accomplished outside of Division Day

Legal Affairs Division

Key Roles and Responsibilities

  • Stay abreast of current legislation that affects the practice of health-system pharmacy
  • Keep members updated about current legislation
  • Encourage members to become proactive with their legislators
  • Submit names to the BOP for rules review
  • Develop agendas for meetings, contact participants, attend board meetings, etc

Estimated Time Commitment

  • General time commitment 3-5 hours per month

Communications Division

Key Roles and Responsibilities

  • Website
    • News articles/latest news
      • Provide the website manager with news articles to be posted on the website
      • Make announcements on website regarding meeting registration, awards, upcoming events, etc.
    • Development and enhancement of the website
  • Communication to OSHP members
    • Email blasts – these go out as needed, usually once per month
    • Developed by various division directors or board members when an important communication needs to be made
    • Responsible for draft email construction and forwarding to Offinger for blasting
  • Bulletin Newsletter
    • Published every other month
    • Work directly with the Bulletin editor to help her find articles to put in the newsletter
    • Responsible for getting each division director to write a "Division Director’s Corner” Article
      • Set this calendar at the beginning of the year, then send out reminder
    • Responsible for getting a student chapter article for each Bulletin
      • Set this calendar at the beginning of the year, then send out reminder

    • 4-6 hours per month
    • More hours are required prior to each Division Day and prior to Annual Meeting

    • 50% of work is completed at Division Day meetings
    • 50% of work is accomplished outside of Division Day meetings in small groups via e-mail or teleconferences

Educational Affairs Division

Key Roles and Responsibilities:

  • Annual Meeting
    • Utilize online member survey to identify topics for annual meeting
    • Facilitate division brainstorming
    • Explore CE programming offered by medical education companies
    • Contact and secure potential speakers
    • Submit all speaker COI disclosures, CVs, and slide decks to CE provider
    • Ensure continuing education programming is appropriate and unbiased
    • Organize student track planning and facilitators
    • Convert slide decks to PDFs for online posting
    • Coordinate session moderators and speaker introductions
    • Submit article for bulletin
    • Maintain cost-neutrality or profit
    • Explore other potential venues for the Annual Meeting beyond 2010
  • Residency Showcase
    • Organize volunteers and moderators for panel sessions and academic challenge
    • Submit article for bulletin
    • Maintain or increase attendance level
    • Maintain cost-neutrality or profit

Estimated Time Commitment

  • 7 hours per week during "peak months"

Membership/Marketing Division

Key Roles and Responsibilities

  • Serve as a member of the Board of Directors
  • Works with the Executive Vice President or office staff to obtain ASHP membership list.
  • Maintains contact with Local Chapters and provides guidance as needed.
  • Organizes membership drives
  • Develops ways to market the benefits of OSHP membership
  • Coordinates membership recruitment and renewal program
  • Coordinates and directs activities of the Membership/Marketing Division
  • Coordinates activities with other Divisions as needed
  • Reports activities and recommendations to the Board
  • Prepares an annual report of the Division activities and presents at the House of Delegates Annual Meeting
  • Serves as a member of the House of Delegates
  • Obtains approval from the Board of Directors prior to representing themselves as acting on behalf of OSHP when contacting other organizations.
  • Prepares an annual budget for the Division
  • Prepares an annual list of OSHP members serving on the Membership/Marketing Division
  • Other duties as requested by the OSHP Executive Board

Estimated Time Commitment

  • Attendance at face-to- face and teleconference Board meetings
  • Attendance at two OSHP Division Days
  • Attendance at the OSHP Annual Meeting (2 days)
  • Attendance at the Board Retreat (1-2 days)
  • Estimated time commitment: 10-15 hours per month
  • Busiest time: weeks leading up to a Division Day or Board meeting
